Q: When creating a new employee onboarding profile, will the system know if an Employee ID is already in use? 

A: Yes, the system will look at the last assigned employee number and will assign the next in the sequence.

Q: Is there a SIN verification process or can any numbers be entered? 

A: The validation process is the same as what exists in payroll. The system will check the format and algorithm to ensure incorrect SIN cannot be entered.

Q: Will banking information entered by the employee be verified by the system upon entry?  

A: Yes, the validation process is the same as payroll; Institution Number and Transit Number are checked for validity, the account number length is also checked based on the Institution and Transit numbers entered. You as an HR admin can review, and change information entered if required.

Q: Can the employee save and exit while filling out the Employee Registration Guide?

Q: Can the employee edit the Employee Registration Guide after it has been completed?

A:  No, unfortunately, once the Employee Registration Guide has been completed the employee will no longer be able to access the registration guide and will need to contact their HR administrator in order to make any changes.

Q: Do Task Assignees receive an email notification that they have been assigned a task?

A: Yes, email notifications are sent to task assignees once the task template has been assigned to the employee onboarding profile, an email notification will also be sent if any additional tasks have been assigned within the employee onboarding profile.

Q: Can I assign more than one Task Template to the new employees’ Onboarding profile?

A: Yes, you are able to add up to five task templates to the new hire employees onboarding journey.

Q: Can I assign tasks to the new hire employee during the onboarding process?

A: Yes, within the Task Templates, “New Hire” can be assigned as a placeholder. Once the task template has been assigned to the employee in their onboarding profile, they will be assigned that task. As soon as the task is assigned, the employee will receive a notification. However, they can't action it until their HR profile has been created and they have signed in. If a task is assigned in their onboarding profile, their name will appear instead of “New Hire.”

Q: Can I customize the welcome email template permanently?

A: Unfortunately, saving a customized version of the welcome email template is not currently available, so it will need to be customized each time.

Q: Can I assign tasks to a person outside of my organization?

A: No, you can only assign tasks to a person who has a profile within People Directory.

Q: Can I select which custom fields from HR to be included on the Employee Registration Guide?

A: Yes, if your organization has custom fields set up, you will be prompted to select which of these custom fields you'd like to include for the new hire. If you don't have custom fields under your organization settings, then this field will not populate when creating a new hire onboarding profile.

Q: Can I add attachments to the welcome email that is sent to the new hire employee?

A: Unfortunately, this isn't available at this time. You can, however, add this as a task for the new hire employee to complete.

Q: Can I onboard a non-Canadian employee?

A: No, at this time we cannot do US Payroll.
