Assign a document in eSignatures

1. Click the Organization Profile tab, then click eSignatures.


2. Next, click the category of the document you’re looking for.


3. To assign an eSignature document template, click the three dots next to the document template name and click Assign. This will take you to the Assignees page.


4. You can also click the document you wish to assign.


5. On the Assignees page, you can view which employees have been assigned a document, or assign the document to a new employee by clicking + Assign.


6. Look through the employee list or use the search feature to find the employee you want to assign the document to.  You can bulk assign the document to a max of 150 employees at one time. Click the employee’s name to select them, then click Assign. To select all employees, click the check box next to NAME. The first 150 employees will be selected. To assign the document to any remaining employees, you’ll need to repeat steps 3-5 and then manually select them.


7. If your document requires cosigners, you will select those on the following screen. You can select Employee’s primary manager for one of the assignees if you like. Otherwise, choose Specific employee and specify the individual who will cosign.



9. Once the assignee completes the form, the cosigners will receive a second email with an eSignature request. Once the assignee and cosigners have signed the document, the employees and admin will be sent a copy of the signed document.  You’ll see a green status icon next to assignees who have signed the document and, under Status, the date they signed the document.

If you selected the Request signatures in the order above option when creating the template (for help with creating templates, check out our How to create and edit a document in eSignatures article), the document will be sent to the assignee, and after they’ve signed, the document will be sent to the first cosigner listed. Once that cosigner has signed the document, the next cosigner will be sent the document to sign, and so on.

10. Click Remove to revoke the request for a signature from an assignee. You’ll only be able to revoke the request if the document status is In Progress.


 

11. Owners and Admins can access all signed documents from the employee’s profile in People Directory. The Signed Documents folder under the Documents tab contains all signed documents. Click the name of the document to download a signed copy.
