How to create a check-in cycle

How to create a check-in cycle

1. Navigate to Performance, then under Manage Performance, click Check-in cycles.

2. On the Check-in cycles page, click + Create check-in cycle.

3. Add a name and description to your new check-in cycle. Click Continue when you’re ready to move on.

4. Review the questions that will be asked to participants as part of the check-in cycle. The questions cannot currently be adjusted or modified. Click Save & continue when you’re ready to move on.

5. Select participants for the check-in cycle. You can add participants by manager - once a manager has been selected, all employees who have the manager set as their primary manager in People will be added to the check-in cycle. For more on primary managers, check out our article on How to set an employee's primary manager. A participant will remain in the check-in cycle as long as their primary manager is selected as a manager in the check-in cycle. Click Continue once you’ve added the desired managers and their team members.

If a participant changes managers or if a new hire starts reporting to a manager who is part of a check-in cycle, the check-in cycle participant list will automatically update to reflect the changes on the day of the next check-in.

Example 1: Jim reports to Mary and all of Mary’s team participates in check-ins. Jim leaves the company. In the next check-in, Jim will no longer appear to Mary as a participant.

Example 2: Sam is a new hire and reports to Mary. All of Mary’s team participates in check-ins. In the next check-in, Sam will appear to Mary as a participant.

Example 3: Mary’s team participates in check-ins. Mary’s role then changes and she now manages a new team. In the next check-in, all of Mary’s new team will appear as participants. Mary’s former team will continue as participants if their new manager is included in the check-in cycle.

At any time, you can manually add or remove managers or set the toggle to exclude a participant from writing check-ins. All changes will take effect on the next scheduled check-in.

6. Select how often you want the check-in to occur. Click Continue when you’ve created a schedule for your check-in.

7. Review your new check-in cycle and click Activate to create the check-in cycle.

8. On the Check-in cycles page, when your new check-in cycle shows as ACTIVE, your new check-in cycle is live.
