How to edit the hire date of an employee
When a new employee is hired, their start date is reflected on the profile as the first event in their Journey. Along with their start date, the first journey event can include the manager and position of the employee as of their first date of employment. If a mistake is made when setting up the employee, or if circumstances change and you need to make an adjustment, you can edit the first journey event so the employee's profile is accurate.
How to adjust the details of an employee's start date
1. Navigate to the employee's profile in People.
2. On their journey, locate the start date journey event.
3. Expand the event and select Modify.
4. Adjust the effective date, manager, and/or position until everything is accurate.
The employee's start date will be used on their ROE, so ensure that the start date is the first day the employee is paid, not their hire date.
5. Click Save.
FAQs
Why can’t I select certain dates?
The hire date must be the first event in the employee’s journey. You cannot select a date after other events have occurred. Also, only one event can happen per day of a single type. In other words, if there is a position change already recorded for a certain date, you cannot move the hire event to that day if it includes a position being set, otherwise the position would change twice on that date which is not permitted.
Why can’t I set a different status besides Active?
When someone is hired, their first status must be Active. They cannot be hired as On Leave, or any other status.
Why can’t I edit the employee’s hire date if they are enrolled in Benefits?
You can! But our team must help in this case. The reason is that if the employee’s start date is moved outside of 30 days since they enrolled in Benefits, the employee may need to fill in additional forms. Create a ticket and our team will help change the start date of an employee who is enrolled in Benefits.
