Set up department and employee mappings for Journal Entry

While some organizations might have simple requirements for payroll accounting, others may need to track funds at a detailed level. To accomplish this, the Rise Journal Entry solution allows organizations to track funds at a department or employee level. 

Setting up department and employee mappings

Before you add department or employee mappings, it's essential that you include default mappings first. Default mappings act like a safety net; any funds that don’t have a specific mapping will get allocated to the default mapping. 

Click either the + Add departments and/or  + Add employees button. If you click both buttons, it will create tabs, allowing you to navigate between them easily. 

You’ll see a list of all your active departments or employees. Select the department or employee to which you wish to add specific mappings. This will expand the item, providing an input to select a new account. 

Please note, you only need to provide mappings for departments or employees whose accounts are different from the default

To remove a specific mapping, click Remove on the top right corner of the item. This will collapse the item and remove the specific mapping. 

How does the system prioritize mappings?

Simplified, the system will always check whether there are employee mappings first, then department mappings, and finally default mappings. 

For example:
You’ve earned $100 working in the Sales department, and $200 working in the Marketing department. When Rise is creating a journal entry report, it will first check if you have an employee-specific account mapped. If so, all of your earnings will be debited to that account. 

If you don’t have an employee-specific account, Rise will then check if there are department-specific mappings for Sales and Marketing. If they each have a specific account mapped, earnings will be distributed accordingly. $100 will be debited to the Sales account, and $200 will be debited to the Marketing account. 
If neither of these departments have an account mapped, the earnings for each department will be debited to the default account.
