Assigning onboarding tasks to a new hire

1. Navigate to People, then click Onboarding.

2. On the Onboarding page, click + Add employee.


3. To onboard an existing applicant from Recruiting, select the applicant’s name from the Select or add employee dropdown. Note that applicants will only be shown if they’ve been set to the Hired stage in Recruiting.


To create a new employee, select + Create new from the dropdown. Click Next to proceed.



4. Fill in the required employee information. If you’ve selected an existing candidate, many of the fields will be pre-populated, but if you’re creating a new employee, you’ll need to manually enter their first name, last name, email, and position. The employee code will be auto-populated with the next available employee number for your organization. Select the employee’s team and start date.

5. If you want to enrol the new employee in Payroll, check the Enrol in Payroll box and select an Organization and Department. Note that if you choose to enrol the new employee in Payroll, they will be prompted to fill in their banking details for direct deposit while registering for Rise. If you choose not to add the new employee to Payroll during onboarding, you can add them to Payroll later on. Click Next when you’re ready to continue.

6. The employee welcome email template will be auto-populated with the employee’s information. Feel free to make any changes to the template or change the language to French before proceeding.

7. Review the subject and preview text for the employee welcome email, and click Next to move on.

8. Fill in any Custom fields. For more on custom fields, check out our article on How do I set up additional information for my employees. Click Next when you’re ready to move on.

9. Next, you can assign onboarding tasks to support this employee’s onboarding by clicking on + Assign task template. Any task template you've created will be available for selection. For more on task templates, check out our article on How to create a task template. Click Next when you’re ready to move on.

Note that new employees can only complete tasks that have been assigned to them once their start date arrives.




10. The new employee’s onboarding profile will be shown. Confirm that the information entered in the above steps is correct, and then click Send invite to send the employee’s welcome email.

11. Once the invite has been sent, the Welcome email status will change to SENT. Your new employee will receive their welcome email and registration link. The employee welcome email can be resent at any time by clicking Resend invite.
