Request a custom timesheet converter

Info
Note: Custom timesheet converters are available on the Grow and Optimize plans.

If your team tracks time in another system, someone probably copies those hours into the Rise input sheet every pay period, or runs them through an Excel macro. A custom timesheet converter does that step for you. You give it your time export and your input sheet, and it gives you back an input sheet with the hours filled in, ready to import.

Each converter is built around your organization's export and payroll rules, so we need a few files from you to build it.

What to send us

Send all of these from the same pay run. Pick one that's already been processed in Rise.

  • Your time export. The file you download from your time-tracking system for that pay period. Download it with the same report and settings you'll use every pay period, and send it exactly as downloaded. Opening and re-saving it in Excel can change the file type and format.
  • The input sheet you posted for that pay run. Go to Payroll > Process Payroll / Review Payroll History, open the pay run, click Input Sheet, then click Export as CSV (see Import a CSV file into the input sheet). We need the final version with all hours entered, not a blank copy downloaded before entry.
  • Whatever you use today to move the hours across, if you have one. For example, an Excel macro or the written steps your team follows.
Notes
Note: The converter is built to read the exact file you send us. If you switch systems or change how you export your time data (for example, a .csv file instead of a .txt file), send us a new matched set the same way and we'll update it.

Why the files must be from the same pay run

Think of it like marking a test. Your time export is the questions. The converter's output is the student's answers. The input sheet you posted is the answer key.

We build the converter from your time export, run it, and compare the result to the input sheet you actually posted. If they match, the converter works. Without the posted sheet, we have no answer key and can't prove the converter gets your payroll right. If the two files come from different pay runs, the answers won't line up and we can't test it at all.

The comparison also shows us the changes your team makes by hand, like leaving out certain overtime or rounding hours, so the converter can make the ones that follow a set rule.

What happens next

  1. We build the converter and compare its output to your posted input sheet.
  2. We send you questions about any differences. Common ones are overtime that was in your time system but wasn't paid, hours recorded for salaried employees, rounding, employees missing an employee number, and employees who work in more than one department.
  3. You confirm the rules your team follows. If some corrections are made case by case with no set rule, tell us which ones. Those stay a manual step.
  4. We send you the converter with instructions. It opens in your web browser, and your payroll data never leaves your computer.
  5. For your first few pay runs, check the converted input sheet before you import it and tell us if anything looks off.

How to send the files

Contact Support and attach all the files. Use the subject "Custom timesheet converter request."

If you're still onboarding with Rise, you can send the files to your onboarding specialist instead.
