How to approve time in Rise Scheduling & Time Tracking

How to approve time in Rise Scheduling & Time Tracking

1. In Scheduling, click Time Approval in the navigation menu on the left-hand side.

2. You will be taken to the Time Approval page, where you can review, modify, and approve employee shifts. Some shifts may already be approved, depending on your organization settings. If your organization uses timesheets, it will also display unsubmitted shifts. For help with your organization settings, check out our How to manage your Time Approval settings in Rise Time & Attendance article. For help with reviewing and modifying shifts, check out our How to review and modify time in Rise Time & Attendance article.

Approving time

1. There are several ways you can approve a shift — please note that you cannot approve a shift if either the Start Time or End Time are blank. If your organization uses Timesheets, you can also approve unsubmitted time (for example, if an employee has not submitted their timesheet but a payroll deadline has to be met).

2. To approve one shift, click the checkmark.

3. To approve all shifts for one day, click Approve in the Time by Day view.

4. In the Time by Week view, you can also approve all shifts for an employee in a week by clicking the checkmark in the employee’s total time row.

Ready for Payroll

1. When you’re finished reviewing and approving your time, click Ready for Payroll.

2. A pop-up will appear asking up to which date you would like to mark ready for payroll. If you wish to change the date, use the dropdown to select the new date, then click Ready.

3. All dates previous to the one you choose must not have any unapproved time, otherwise a warning will appear. If this warning appears, click Cancel and approve any unapproved time, or change the date so the time does not include any unapproved shifts.

Time that has been marked as ready for payroll cannot be deleted, unapproved, or added in Scheduling and Time Tracking. However, hours classifications can be modified. Just please be aware that if payroll has already been processed, any changes to hours classifications won’t be applied. Make sure to communicate with your payroll controller about any last-minute changes done in Time Approval.

Once the time entries have been submitted to payroll, Time Approval will not allow edits and the adding shifts and editing buttons will be disabled.
