How to review and modify time in Rise Scheduling & Time Tracking

1. In Scheduling, click Time Approval in the navigation menu on the left-hand side.


2. You will be taken to the Time Approval page, where you can review, modify, and approve employee shifts. If your organization uses timesheets, it will also display unsubmitted shifts. Some shifts may already be approved, depending on your settings. Reviewing and modifying time

1. Use the filters to display which hours you wish to view, if you need to. For help with this, check out our How to navigate the Time Approval page in Rise Scheduling & Time Tracking article.


2. If you’re in the Time by Day view, you’ll see all shifts for one day. If an employee has more than one shift on the same day, the shifts will be displayed separately.


3. In the Time by Week view, you will see the total time scheduled, total time clocked, total time approved, total time unapproved, and classification for all employees to be approved for payroll. Beside each employee, you will see their total time scheduled, total time clocked, total time approved and total time unapproved. To see a breakdown of their shifts for the week, click the + beside the employee’s name.


4. The boxes for approved shifts will be greyed out. The boxes for unapproved shifts will be white and can be edited. You can only edit an unapproved shift. If a shift has been approved (automatically or manually), click the three dots, then click Unapprove to go back and edit it.

If the Start Time box is greyed out but the End Time box is white, it means that the employee punched in but never punched out.


5. If you wish to change the department for a shift, click the downward arrow on an unapproved shift and choose the new department for the shift. If you update the department, this change will be reflected on the payroll input sheet.


6. For each shift worked, there’s an S and P under the Start Time and End Time. The S shows the scheduled time, and the P shows the time the employee punched in. Note: the punch can be either scheduled, unscheduled or done through a hardware clock. The T (for timesheet) shows a direct time entry in the timesheet by the employee. For approved shifts, the box above these will automatically display the time that will be used for the hours calculation. To manually change the time, click inside the box.

7. There are several reasons why a shift Start Time and/or End Time can be red. Red indicates that there were no punches or unscheduled punches. It can also indicate that the punches were not an exact or close match (as defined in the Time Approval settings), or that the employee manually changed the shift in their timesheet (if your organization uses Timesheets). If a shift Start Time and End Time box is yellow, it means that one or both punches don’t match with the scheduled shift. A yellow P means there was not a location attached to the punch.

8. The Unpaid Break box shows how many minutes the employee had for unpaid breaks during their shift.


9. Under Shift Duration you can see the total paid time for the shift, which is the scheduled time for the shift less the time for Unpaid Break.


10. Notes displays any notes that were added to the shift.


11. Hours Classification shows how many hours the employee worked at what pay classification. If you need help modifying the hours classification, check out our How to use Hours Classification in Rise Scheduling & Time Tracking article.


12. Classification Tags determine the pay rules that trigger based on the tags applied to the shift. If you need help with classification tags, check out our How to create classification tags article.

14. If you ever wish to undo the changes you’ve made to a shift, click the X that appears when you begin to modify a shift.


15. To delete a shift, click the 3 dots in the shift’s row and click Delete.
