Create a performance review cycle

Create cycle

1. In People Management, navigate to Performance by clicking the icon in the left-hand navigation bar.

2. In the Performance menu on the left-hand side, under Manage Performance, click Review Cycles.

3. Next, click + Create review cycle.

4. Give your review cycle a name.

5. If you’d like, create a Description for the review cycle. Your description should give employees a clear idea of what the review cycle is about. This is also a great place to include anything employees should keep in mind as they’re completing their reviews. This description will be visible to all participants in the cycle, no matter their role.

6. Click Continue.

At any point during this process, you can click Save & close to save your progress and create a draft review cycle.

Cycle Content

1. Next, select the types of reviews you would like to add to the cycle by clicking the switch next to the review type. There are three types to choose from and you have the flexibility to create a review cycle using one, all, or a combination of them:

  1. Self review
    1. When you add this option, employees that you select for review will be asked to complete a self review, which will then be reviewed by the manager(s) assigned to them. 
  2. Manager review
    1. When you add this option, employees that you select for review will have one or more managers assigned to complete a top-down review. If self and/or peer reviews are being completed during the cycle, managers will have access to the completed reviews for the reviewee while they’re answering.  
  3. Peer review
    1. When you add this option, employees that you select for review will have one or more peers assigned to them to complete a peer review. Peers for each employee will be selected by the employee’s assigned manager at the beginning of the cycle.

2. Use the dropdown to select the template you would like to use for each review type. For help with creating templates, check out our How to create a template in Performance article.

3. Click Continue.

Participants

1. Next, in Participants, add the employees you would like to be reviewed this cycle.

2. Start by using the By department search to add all employees in one department, or the By name search to add an individual employee.

 
 
 

3. Once an employee has been added, they will automatically be assigned a reviewer—this will be their direct manager (based on the org chart in People Management).

  1. If self reviews have been selected, the reviewer(s) will be able to view the employee’s self review.
  2. If manager reviews have been selected, the reviewer(s) will write a review of their direct report. 
  3. If peer reviews have been selected, an employee will always have a primary reviewer. If the employee has two or more managers assigned to review them, the primary reviewer will be responsible for selecting peers (after the cycle opens) and summarizing peer feedback. 
  4. When selecting peers, managers will be able to choose anyone in the organization—they do not have to be added as a participant in the review at this stage. 
To edit a reviewee, click the three dots in their row. 

 Next, click Edit
 
 
To delete a reviewee, click Remove
 

4. In the Edit reviewers panel, you can change a reviewee’s primary reviewer, as well as add and remove reviewers for the employee.

To add a reviewer, type their name into the box. To remove a reviewer, click the X beside their name.
 
 
To make a reviewer a primary reviewer, click Make primary reviewer. Note: only one reviewer can be the primary reviewer.
 

5. Once you’re finished making changes, click Save.

Timing

1. Next, in Timing, select the open and close dates for each review window. The tasks for each window will depend on which review types you’ve added to the review cycle.

Emails will be sent to the participants at the beginning of each window to let them know which tasks they need to complete and the deadline for completing them.

2. In each box, under Open date, enter the open date for the window in a YYYY - MM - DD format or click the calendar icon to pull up a clickable calendar. Do the same for the Close date.

 
 
Note that each window has to end before the next one begins. For example, if you have all three review types selected, managers will need to be able to see completed peer reviews during their review window in order to summarize the peer reviews.

3. Repeat this process for all windows in the review cycle.

4. There are no dates for the last review window, Feedback sharing. During this phase, managers will be able to share the review feedback with employees manually by using the Share feedback button. For more information on sharing feedback, check out our How to share feedback article.

When you’ve finished setting dates, click Continue.
 

Verify & launch

On the Verify & launch page, you can review all information for the cycle, and use the left-hand navigation to return to any page to make changes. 

1. To launch the review cycle, click Launch, then click Launch again on the pop-up. Once a review cycle is launched, you’ll be able to change the review name, templates, participants, and timing until the open date of the first window.  On the open date of the first window, an email will be sent to selected employees inviting them to participate in the review cycle.
