Ending Employment: What to Expect

Offboarding an employee involves several automated transitions within the product. When you update an employee's status to Terminated or Resigned in Rise, the system triggers specific changes based on the products you use.

The Effective Date and Timing

In Rise, the Effective Date is the date the employee's status changes from Active to Terminated or Resigned.

Most of the system changes described below take effect on the Effective Date itself. The main exception is Benefits, where coverage includes the Effective Date and ends the following day. Because some of these actions are permanent and cannot be reversed, it is important to review all details before finalizing the status change.

Automated System Changes

When the status update processes, the following changes occur:

Employee Profile

  • The employee's status will change to Terminated (or Resigned) on the Effective Date.
  • The employee's profile will be visible only to users with permission to view inactive employees. The employee will also appear as terminated in reports and will no longer be included in active employee lists.

User Account

  • The employee's user account will be deactivated on the Effective Date. They will no longer be able to log in to Rise.

If you use Benefits / Rise Health

  • Benefits coverage will include the Effective Date (the last day of employment). The employee will no longer be able to make benefit claims starting the day after the Effective Date.
  • You have the option to manually extend coverage if you need to account for a notice period or other specific requirements.

If you use Time Off

  • The employee will be unenrolled from all time off policies, and their balances will be deactivated on the Effective Date.
  • The employee will be removed as a reviewer on any time off requests they were assigned to review.
  • If you track vacation balances only in the Time Off product (not through Payroll), ensure you note any outstanding balances before the Effective Date so they can be paid out correctly in the final pay cycle.

If you use Scheduling and Time Tracking

  • The employee will be marked as inactive in the schedule on the Effective Date, so you can identify and reassign their shifts.
  • New time entries cannot be created for terminated employees.

Final Payroll and ROEs

Updating an employee's status in Rise manages their profile and benefits, but it does not automatically issue their final compensation.

The employee's payroll status will also change to Terminated on the Effective Date, meaning they will not be automatically included in pay runs for pay periods in which they were not active.

If applicable, you must complete the following steps in Payroll:

  • Issue last pay: You will need to process a final pay run to compensate the employee for their last days worked, including any applicable commissions, bonuses, pay in lieu, retirement allowance (severance), or the vacation payouts noted from the Time Off product.
  • Record of Employment (ROE): Once the final pay has been processed, you must issue an ROE if applicable. This is required by Service Canada for any interruption in earnings and allows the employee to apply for Employment Insurance (EI).
