Frequently Asked Questions - Scheduling

Q: Is Rise Scheduling & Time Tracking available on any Rise plan?

A: You can add Scheduling & Time Tracking to any Rise plan (Start, Grow, or Optimize). Just reach out to us and we'll take it from there.

Q: Who has full access to Scheduling & Time Tracking?

A: Owners and Admins. 

Q: Which employees show up on a schedule?

A: You’ll only see the employees that match  the  department(s), location(s) or position(s) filters on the schedule.

Q: Can I create a schedule based on locations?

Q: Can I delete a schedule?

A: You can delete a schedule if it's not published. Once a schedule is published, it cannot be deleted. To learn more about how to delete a schedule, check out our How to view and manage schedules in Rise Scheduling & Time Tracking article.

Q: What happens to a recurring shift if a schedule’s department, location or position is changed?

A: A shift will be highlighted in red if its criteria no longer matches the schedule.

Q: Can I edit a shift once its end time has passed?

A: You can only edit a shift in Rise Scheduling & Time Tracking, not in the schedule itself, if the shift’s end time has passed. For more information on how to edit a shift that’s passed, check out our How to review and modify time in Rise Scheduling & Time Tracking article.

Q: What is the difference between a vacant and open shift?

A: Vacant shifts aren’t visible to employees and are used to plan ahead for expected busy time. Open shifts are visible to all employees and can be claimed by employees through My Schedule. Q: What does a grey bar in a schedule mean? Can I schedule shifts for employees that have grey bars?

A: If an employee has a shift in another schedule, or has an approved time off request you’ll see a grey bar in the schedule. You can schedule a shift for that employee over a grey bar but it will have a warning.

Q:What does a red bar in a schedule mean?

A: If the parameters of a shift don't match an employee, the background colour of that shift changes to red to signify a warning. To learn more about the warning, hover your pointer over it. A warning can be because of the following reasons:
  1. Employee is not associated with the shift’s location, position or department
  2. Shift overlaps with an employee’s time-off
  3. Shift overlaps with another shift
  4. Shift overlaps with a shift in another schedule

Q: Can a schedule be modified once it's published?

A: Yes, you can modify a published schedule. You can also choose to notify employees about the changes when you re-publish it. Any changes made to the schedule will immediately reflect in the employees schedule. Q: Do I need to resolve the warnings in the schedule to publish it?

A: No, warnings in the schedule don't prevent it from being published.

A: If a shift related to a request is edited or deleted, the drop and cover requests are deleted.

Q: Which employees are eligible for a cover shift request?

A: Employees who fit the eligibility requirement (location(s), department(s), position(s)) are eligible recipients for a cover shift request.

Q: What access do employees have in Scheduling & Time Tracking?

A: Employees can punch in/out on their next shift, log in an unscheduled shift, view their upcoming shifts, claim open shifts, and accept shift cover requests from other employees.

Q: Can employees request shift drop or shift cover?

Q: Which employees can be assigned to receive shift drop or shift cover notifications?

Q: Are shift cover requests visible to all employees?

A: A shift cover request is visible to an employee if it doesn't conflict with an existing shift, if the request hasn’t already been approved, and if the shift hasn’t started yet.

A: An open shift is visible to an employee if it doesn't conflict with an existing shift, if the shift hasn’t already been claimed, and if the shift hasn’t started yet.
